The Role

We're looking for a standout Executive Partner to work at the very heart of Mentimeter's Management Team. Your mission is straightforward but significant: make us better. Make our work smoother. Catalyze how we operate so that Mentimeter as a company can reach its goals faster.

This isn't a traditional EA role. Mentimeter is a fast-growing tech company that uses AI across everything we do - and we expect our Executive Partner to be fully at home in that world. You'll use AI natively to work smarter, move faster, and create real leverage across everything you touch. You'll own the operating rhythm of our leadership team: the meetings, the decisions, the follow-through, and the infrastructure that keeps everything moving.

There's no "next step" on the org chart here and that's intentional. We're looking for someone who genuinely loves this craft, wants to grow their impact alongside the business, and sees becoming an AI-enabled expert in executive partnership as an exciting career in itself.

What you'll do

Meeting Documentation & Follow-up

  • Prepare agendas for Board, Committee, and Leadership meetings
  • Turn notes and recordings into crisp summaries and decision logs - AI-assisted, human-verified, always accurate

Board Material & Portal Administration

  • Administer the board portal: uploads, access management, and version control
  • Maintain confidentiality and formatting standards without exception

Annual Cadence Management

  • Own the master calendar across Board meetings, Committees, AGM, and beyond
  • Keep key stakeholders ahead of deadlines with proactive reminders
  • Track recurring governance requirements cycle to cycle

Project & Initiative Tracking

  • Maintain a live tracker for high-priority Management Team projects and shareholder events
  • Chase Board Action Points and escalate anything stalled

Executive Scheduling & Coordination

  • Orchestrate complex, multi-stakeholder, cross-timezone meetings with precision

Travel & Event Coordination

  • Arrange travel logistics for the Management Team
  • Coordinate events end-to-end: venue, catering, AW, and last-minute changes

Administrative Operations

  • Maintain governance records - minutes, resolutions, and more
  • Proactively identify admin tasks to templatize or automate

 

Good to know

Mentimeter is a digital-native company going AI-first. We've invested heavily in modern systems, integrations and automation and we actively work to eliminate manual tasks wherever possible. We also don't use email as our primary internal communication tool. We run on Slack. Experience in a Slack-first environment is a must.

We believe you have

  • 5+ years of experience in a fast-paced, diverse environment - ideally at a startup or scale-up
  • A genuine passion for the Executive Partner craft - you see it as a career, not a stepping stone
  • Fluency with AI tools (ChatGPT, Claude, and equivalents) - you use them daily and know how to get real value out of them
  • A strong ability to grasp, distil, and summarize complex discussions with accuracy and confidence
  • Proven project management skills and a demonstrated track record of taking initiative
  • Experience working in a Slack-first environment
  • Outstanding organizational and stakeholder management skills - you make chaos feel calm
  • Full professional fluency in English, written and spoken
  • An unwavering commitment to handling sensitive information with discretion

Nice to have

  • Paralegal experience
  • Background in SaaS or a high-growth tech company

Not required

  • Swedish (daily work is in English - we have 40+ nationalities at Mentimeter)
  • A traditional cover letter

📍 Location

This is primarily an onsite role located at Mentimeter HQ in Stockholm, with a hybrid approach.

Compensation

At Mentimeter, we believe in fair and transparent compensation that grows with you. Where an individual is placed within our range depends on relevant experience, demonstrated skills, and alignment with the role's requirements.

The salary range for this role is SEK 49 000 - SEK 59 000 per month. It’s intentionally broad to reflect the different stages of growth within the role: from early development to deep expertise and meaningful impact. We're committed to supporting your growth. You'll have ongoing development conversations with your manager, and your compensation will evolve as your impact grows.
