Sales Administration Coordinator

As a Sales Administration Coordinator, you will play a key role in ensuring excellent service standards, accurate order management, and smooth coordination between Sales, Logistics, and Accounting.
You will contribute to building a strong and collaborative Sales Admin function that supports our customers and internal teams with professionalism and reliability.

Main responsibilities

  • Review and process sales orders while ensuring deliveries are compliant with internal processes.
  • Maintain accurate and up-to-date sales and customer records.
  • Issue sales invoices and ensure data accuracy in all transactions.
  • Monitor and follow up on customer payments in collaboration with Accounting.
  • Collect and consolidate information to respond promptly to customer and distributor inquiries.
  • Provide accurate and timely order status updates to both internal and external stakeholders.
  • Collaborate effectively with Accounting, Logistics, and Sales teams to ensure smooth order-to-cash execution.
  • Support the continuous improvement of the sales administration process and documentation.
  • Ensure adherence to company sales policies and commercial terms.

Experience

  • Proven experience as a Sales Administrator, Sales Support, or Customer Service Coordinator.
  • Experience working in a dynamic environment where cross-functional collaboration is key.
  • Hands-on experience with SAP and MS Office (especially Excel).

  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills – able to interact with different departments and customers in a clear and professional way.
  • Customer-centric mindset combined with strong problem-solving abilities.
  • Demonstrated maturity, accountability, and ability to manage priorities under pressure.

Abilities

  • Team player who contributes to a positive and respectful work environment.
  • Proactive, self-motivated, and comfortable working independently when needed.
  • Understanding of sales performance metrics and order-to-cash process.
  • Fluent in English and French; additional languages are an asset.

Education

  • Bachelor’s degree in Business Administration, Supply Chain, or a related field.
