The Opportunity

A Customer Service Specialist oversees and coordinates all customer needs in the organization including processing customer orders, managing all new product lines including Bill of Material (BOM) creation, and daily communication with Hubot's operation teams.This isn't a support-desk role; you'll be the single point of accountability for your customers' orders across their entire lifecycle.

What You'll Own

Order Lifecycle Management

- Receive and process customer purchase orders

- Push orders into production and track them through to completion

- Coordinate documentation and shipping to ensure on-time delivery

- Maintain and manage production schedules, adjusting as priorities shift

Customer Relationship Management

  • Serve as the primary point of contact for your accounts — daily and weekly touchpoints, calls, and check-ins
  • Resolve issues fast and calmly: quality concerns, delays, urgent changes, escalations

Reporting & Cross-Functional Collaboration

  • Generate and review open-order, consumption, and status reports
  • Keep accurate logs of open items, batching activity, and outstanding actions
  • Work closely with production, quality, procurement, and finance to keep orders on track
  • Support inter-departmental initiatives as needed

Background We're Looking For

  • 5+ years of experience in customer service or account management of large accounts in healthcare,pharma space (either background is welcome — account management strongly encouraged)
  • Experience managing multiple clients/accounts at once
  • Familiarity with order processing or operations workflows
  • Industry experience is a nice-to-have, not a requirement — we welcome transferable experience from fast-paced operational environments (e.g., pharma,cdmo automotive, manufacturing, logistics)
  • Bachelor's degree in Business Management or equivalent work experience
