Huntington Study Group is hiring for a Director of Operations.
The Director of Operations provides the vision, leadership, and management needed to achieve the organization's mission, working at the intersection of strategy, operations, and external relationships to keep the not-for-profit focused, efficient, and financially sustainable. As a key member of the Executive Leadership Team, this role leads HSG's day-to-day non-clinical operations, serves as the operational hub connecting the investigator-led team, sponsors, finance, HR, and the community, fostering a collaborative culture, escalating issues as needed, and represents the organization as a key advocate with industry and advocacy partners. The role manages identified staff and coordinates and collaborates with the HSG LTD Board of Directors, ensuring alignment with organizational goals and a positive, inclusive workplace culture.
Leadership, Strategy, and Team/Operational Management
- Collaborate with the Board and Executive Team to develop and implement a comprehensive strategic plan, including objectives, milestones, and performance metrics, consistent with the organization's mission and vision.
- Provides leadership to HSG staff, fostering a culture of collaboration and leading with integrity, transparency, and professionalism.
- Oversee the day-to-day management of the team to ensure programs and services are effectively delivered.
- Hires, supervises, and evaluates staff, and provides mentoring and professional development to enhance skills and capabilities.
- Manages growth of the team, including identifying resource needs, presenting headcount requests to the Executive Team and HR, and leading interviewing and onboarding for direct reports and other staff.
- Oversee critical decision-making among key stakeholders, including personnel, committees, working groups, task forces, and vendors; escalates issues to the CEO and functional heads appropriately; and identifies, prioritizes, and defines new internal policies and processes.
- Develops and enforces standard operating procedures, workflows, and templates to standardize execution and improve quality of deliverables.
- Maintains project trackers, dashboards, and status reporting for the CEO and leadership team, and allocates staff and resources across concurrent projects to meet commitments.
- Represents the company as needed at professional meetings.
External Relations, Advocacy, and Community Outreach
- As directed by the CEO, acts as the public face of the organization in the community and to external stakeholders, including donors, partners, and media.
- Leads and coordinates HD community outreach initiatives and projects, and builds and nurtures relationships with organizations, community leaders, and potential partners to advance the mission.
- Coordinates outreach communications and manages maintenance of the company website.
Program Oversight
- Oversee the design, implementations, and evaluation of HSG programs and services to ensure alignment with the mission and effectiveness in meeting the network's needs.
- Provides oversight and direction for the biennial HD Clinical Research Congress and the Regional Conferences.
- Establishes metrics and evaluation systems to measure the success and impact of HSG programs.
Industry and Sponsor Relations
- Manage incoming industry relationships and serve as first responder for requests for information and requests for advice.
- Manages the grants process across clients and projects.
- Requests and manages sponsor financial support for HSG-initiated events (biennial meeting, regional meetings, publications).
- Triages and routes sponsor inquiries to the appropriate scientific, clinical, or operational leads and tracks response timelines.
- Supports development of capabilities materials, concept notes, and proposals in coordination with subject matter experts.
- Coordinates contract and scope-of-work development with sponsors, CROs, and vendors, and monitors deliverables against agreements.
- Maintains a pipeline view of active and prospective industry engagements.
Financial Management
- Works with the Executive Team to develop and manage the organization's budget in alignment with the strategic plan.
- Establishes and manages departmental budgets as HSG moves toward defined departmental budgeting.
- Oversees fundraising efforts, including securing grants, donations, and corporate sponsorships, and work to diversify revenue streams and maintain financial sustainability.
- Supports invoicing, purchase orders, and vendor payment workflows, and reconciles project-level financials against budgets, flagging variances to the CEO and finance.
- Ensures compliance with financial reporting requirements to donors and grant-making institutions.
Board Relations and Governance
- Serves as the main liaison between staff and the Board of Directors and provides regular updates on HSG programs.
- Supports Board operations and development, including meeting planning, Board training and onboarding, and ensuring Board members fulfill their roles.
Human Resources Support
- Assists with HR-related matters including onboarding, offboarding, and staffing coordination.
- Supports recruitment logistics, job description development, and interview scheduling.
- Help administer HR policies, maintain personnel records with confidentiality, and escalate sensitive matters appropriately.
- Coordinates staff training compliance in partnership with quality and learning management functions.
Compliance, Quality, and Risk
- Ensures operational activities and aligns with organizational quality standards.
- Identifies operational risks and implements mitigation plans.
- Maintains audit-ready documentation, including financial records, and support internal and external reviews.
Vendor Management
- In conjunction with the Executive Team as needed, manage relationships with external vendors to ensure effective and timely delivery of services (for example, website and graphics).
- Bachelor's degree in business administration or a similar field, or equivalent work experience; advanced degree preferred.
- 10+ years of progressive operations, program, or organizational leadership experience, including demonstrated leadership of teams and functions, working with executives, PhD researchers, medical professionals, statisticians, project managers, and software developers.
- 10+ years of experience working at a not-for-profit organization.
- Demonstrated experience in strategic planning, budget and vendor management, and cross-functional leadership.
- Leadership: strong ability to lead effectively and build trust, inspire staff, and make strategic decisions; positive, open to feedback, and collaborative.
- Communication: excellent verbal and written communication skills.
- Organization: proven ability to set priorities, manage deadlines, work independently, show initiative, and perform under pressure while tracking and reporting on multiple projects.
- Problem-solving: ability to think critically and solve complex challenges in real time.
- Collaboration: able to build consensus and work well with staff, Board members, donors, and community leaders.
- Mission focused, with a desire to make a difference.
Physical Demands:
- While performing the duties of this job, the employee is regularly required to talk and hear. This position requires sitting at a desktop. Occasional standing, walking, lifting, carrying, reaching are also required. The employee must be able to lift 10 pounds and move 10 pounds. Specific vision abilities required by this job include close vision through reading and writing.

Work Environment and Position Type
This position works primarily remotely, with sufficient Wi-Fi, lighting, and workspace in a quiet setting.
Willingness and ability to travel as needed to fulfill the organization's goals and mission, as directed by the CEO.
Full-time, exempt. Schedule and standard hours to be confirmed.
