To implement and maintain our document control process and support the wider Communications, Quality, Technical and Sustainability team (CQTS) to ensure that all documentation within CQTS follows the agreed format, review process and are suitable for a global audience.
You will be responsible for- Governance & organization of the Tesco Quality Management System (QMS) documentation on the myProduct Inspectorio Compliance: myLibrary (Inspectorio) platform.
- Using both external thinking, internal resource and initiative to continually evolve and drive strategic objectives for the development of the QMS.
- Facilitate reviews of all Quality, Technical and Sustainability documentation to ensure consistency of approach & process, resulting in the recognisable global suite of controlled internal and external facing Tesco policies, standards, requirements & guidance material.
- Gatekeep the publication of documents, ensuring they adhere to all document requirements and relevant approvals are gained from the correct stakeholders through the correct approval process. Ensure feedback is provided to Authors and Owners of documents where requirements are not met for further amends.
- Host QMS Forums and manage the representatives and BU Approvers who attend, where documents are challenged in their creation and application while supporting the decision-making process.
- Build and manage relationships with wide range of business stakeholders including those within the QMS Forums.
- Lead the ongoing functional developments of the Digital Assets/ myLibrary (Inspectorio) platform, collaborating with Transformation as well as the Technology Product and Programme teams and associated platforms.
- Manage communication of updates made to documentation within the QMS, companywide and external.
- Promote and upskill Tesco colleagues on the process and ways of working associated with document control.
- Report to the directors on a weekly basis on the progress and status on documents going through QMS governance.
- Manage the translation and document control of key documentation into the essential business languages, including governance, performance & payment of the third-party translation company. Ensuring the translation company adhere to their contractual obligations as well as meeting KPIs outlined in the contract.
- Support the wider Standard and Audit Team on projects and initiatives.
- Preferred degree level qualified in suitable subject.
- Managing relationships with colleagues, senior managers, external experts, and stakeholders.
- Experience of operating within & managing a detailed documented, quality management system, but with a holistic view of the programme governance Commercial awareness.
- Attention to detail and good organisational skills.
- Project Management skills.
- A good working knowledge of IT packages (Microsoft Office including Microsoft Projects, Planner, MS Teams and SharePoint).
- Presentation and Listening skills.
- Self-starter with an ability to network and build relationships across cultures / countries.
