About the role
Service Administration
- Manage the administrative follow-up of repair and field service activities.
- Ensure accurate and timely communication between customers, Service Engineers, and internal departments.
- Maintain and update service records in internal systems.
Maintenance Contracts
- Prepare renewal quotations and proposals for new maintenance contracts.
- Create maintenance contracts upon receipt of customer orders.
- Process invoicing for completed maintenance services.
Service Sales Administration
- Handle customer calls and enquiries professionally.
- Prepare and issue repair quotations.
- Enter and monitor customer orders.
- Process invoices and credit notes.
- Manage equipment returns and related customs documentation.
Technical Support Administration
- Coordinate the administrative management of loan equipment.
- Process spare parts orders for service interventions and repairs.
- Monitor calibration equipment verification schedules.
- Support the administration of health and safety prevention plans.
- Ensure the accuracy and quality of CRM data.
Education & Experience
- Associate's or Bachelor's degree (or equivalent) in Business Administration, Office Management, SME Management, or a related field.
- A minimum of 3 years' experience in a similar administrative role, ideally within an after-sales service environment, with responsibilities in sales administration, customer service, and administrative support.
Skills
- Good command of Microsoft Office.
- Experience with SAP and/or a CRM system is an asset.
- Strong organizational and administrative skills.
- Excellent written and verbal communication skills.
- Customer-focused with strong interpersonal abilities.

- Able to prioritize tasks and manage multiple activities effectively.
- Proactive, reliable, and solution-oriented.
- Team player with a collaborative approach.

- Full-time permanent position.
- On-site position (no remote work).
- Based in Les Ulis (Essonne, France).
- Start date: As soon as possible.
